About the Role
As a Cost Administrator, you will provide essential administrative support to ensure accurate and timely processing of project financials. You’ll be responsible for maintaining cost records, processing invoices, and assisting with payment schedules.
This role is suited to someone who is detail-oriented, organised, and able to support the commercial team by ensuring project cost data is kept accurate and up to date.
Key Responsibilities
Financial Administration
· Process supplier and subcontractor invoices in line with purchase orders and contracts.
· Enter, update, and maintain cost data in company systems.
· Match invoices with delivery dockets, purchase orders, and timesheets.
· Assist with reconciliations to ensure costs are correctly allocated.
Record Keeping & Reporting
· Maintain registers for costs, invoices, purchase orders, and variations.
· File and manage commercial and financial documentation for audit and compliance purposes.
· Provide basic cost reports or summaries as directed by the Cost Controller or Commercial Manager.
Support to Project & Commercial Teams
· Assist with the preparation of payment schedules and progress claim paperwork.
· Collate and check supporting documents for client or subcontractor claims.
· Provide administrative support for month-end requirements (e.g. accruals data, coding of costs).
General Administration
· Ensure all project financial documents are accurate, up-to-date, and accessible.
· Support audits and compliance checks with complete and well-maintained records.
· Carry out other administrative duties as required to support the commercial team.
About You
· Experience in an administrative role (finance, accounts payable, or cost-related administration preferred).
· Strong organisational and data entry skills with high attention to detail.
· Competency in Microsoft Excel and ability to learn project/finance systems.
· Good communication skills.
